Home Instead is seeking an upbeat, and engaging individual to fill the full-time Administrative Assistant position to perform a variety of clerical and administrative duties.
The Administrative Assistant is expected to answer phones, complete administrative duties, and support other staff members with clerical tasks in order to provide the highest quality service to our Clients.

Primary Responsibilities:

  • Greet and welcome each visitor in a friendly, warm and professional manner
  • Answer incoming calls in a friendly, professional and knowledgeable manner and distribute incoming calls to the appropriate staff members
  • Assist with the hiring and onboarding processes for new Care Pros, duties may include fielding employment inquiries from prospective Care Pros and moving applicants through the process.
  • Enter and maintain accurate Client and Care Pro records in the operating system
  • Ensure Home Instead standards are met and upheld
  • Maintain regular attendance at the office to execute job responsibilities
  • Demonstrate open and effective communication with owners, office staff and Care Pros
  • Assist with scheduling, processing insurance claims, filing and newsletters
  • Conduct Client/Care Pro introductions with Clients and with Care Pros as needed
  • Assist with all Care Pro trainings/meetings
  • On call phone duties (one day per week and some weekends)
    • Prior to start of an on call shift, review schedule with designated Scheduling Coordinator and become aware of any potential trouble spots that might arise
    • Obtain resources needed for on call responsibilities such as laptop, tablet and/or phone along with any paper resources deemed necessary 
    • Communicate changes in Client Shifts to the Client(s) and Care Pro(s) 
    • Fill all Client shifts following designated office scheduling processes as needed
    • Monitor and log both Client and Care Pro activity and follow up on Care Pro assignments and Client service in the operating system 
  • Perform other duties as assigned

Education/Experience:

  • High school graduation or the equivalent
  • Two years of related business experience or an equivalent combination of education and work experience may be considered
  • Must possess a valid driver's license

Knowledge, Skills and Abilities:

  • Must demonstrate excellent oral and written communication skills and the ability to listen effectively
  • Must have the ability to work independently, maintain confidentiality of information and meet deadlines
  • Must demonstrate effective interpersonal skills as well as sound judgment and good decision-making skills
  • Must be proficient in Microsoft Office as well as other technology used by the business
  • Must present a professional appearance and demeanor
  • Must be able to pass a criminal background check, DMV check and drug screen
  • Must be able to work evenings and/or weekends as required

$35k - $38k Year Salary + After Hours On Call Pay + Monthly Bonus Earning Potential
